The PAC is looking to fill some roles beginning in September 2023

3/31/2023

Treasurer and Co-Treasurer
This role requires two people for oversight. Our current treasury duo has the rest of the school year left in their term and now would be the perfect time for a new person to start shadowing and learn the ropes.
The Treasurer receives all funds for the PAC, deposit all funds collected on behalf of the PAC in an account in the name of the PAC at a recognized financial institution approved by PAC, disburses funds authorized by the Executive Committee or members, maintain an accurate record of all income and expenditures of the PACm gives a financial report at each general meeting, make all books and financial records of the PAC available for viewing by members upon request.
Treasurers work together to disburse funds from the bank accounts (e.g. pay expense reimbursements and approved expense invoices), and collaborate with PAC exec on the annual budgeting process.
Experience with bookkeeping and accounting is a bonus but not necessary.
Time commitment is 1-2 hours per week, plus PAC meetings and any additional projects. It’s the additional projects (like chasing down former bank account signatories and switching to QB online) that end up being time consuming. The actual paying of bills and accounting is very straightforward.

Secretary and Co-Secretary
The secretary takes notes at both the executive and general minutes. They are also responsible for sharing the minutes, making edits, filing them in the shared folder and communicating with the webmaster about posting the minutes on the website. Minimum time commitment is 8 PAC meetings a year and approximately 6 hours per month including time to make edits (half of that if there are 2 people in the role)

Munchalunch Mastermind
Set up and manage the back end of hot lunch ordering, noon hour programs and any other PAC programs. Time commitment is 30 - 60 minutes per day during set up and launch of each session. 1 to 2 hours weekly otherwise. Best part about this job? You can do it anytime and from anywhere! Never make it to the school? Have an alternate platform idea? This job might be for you.
This role can also include the following but would be easier if it was further divided:

Hot Lunch Coordinator(s)
Talking to Admin about the kind of hot lunches that are possible, sourcing vendors and negotiating the menus and prices. The bulk of the work is in September and sometimes between sessions, if there are any changes. A lot of this can be done from home via email and phone.

Munchalunch Lunch Coordinator(s)
Set up and manage the back end of hot lunch ordering. Includes cancellations, changes and communication with parents. Requires access to a computer. Time commitment is 30 - 60 minutes per day during set up and launch of each session and 1 to 2 hours weekly otherwise.

Munchalunch Communication
Stays in communication with all the coordinators and ensures all the important information is going to the parents on time.

Munchalunch Fundraising Coordinator(s)
Set up and manage any PAC programs that are not hot lunch (pink shirts, masks, welcome back BBQ, noon hour program). This takes a bit more time to set it up, but once the programs are running it’s mainly answering the odd email. Also includes communicating with the treasurers and requires access to a computer.

Munchalunch Treasurer
Keeps an eye on the money side of Munchalunch, checks vendor invoices (sometimes very closely!), makes final calculations of sessions or events, makes sure parents are paying their outstanding balances and keeps in contact with PAC treasurer about refunds and final calculations.

Hot Lunch Volunteer Coordinator(s)
Confirm that volunteers are allowed in the school, manage volunteers including outlining volunteer tasks, creating a volunteer schedule, informing volunteers about their duties and keeping on top of any changes in volunteers (including the volunteers who are sending the ordering info to the vendors). Can be done from home with access to a computer but it’s helpful if this person could go to school once in a while.

Weekly Email Blast Writer
Be the author of our weekly email blasts. Blasts come out every week on a Sunday or Monday. Pulling it all together depends how organized you are: approx 2 hours per week. Add an hour per week during busy times - Sep - Dec. This is also a job that can be done remotely.
